To access essential student data, the school district staff previously had to navigate over 30 applications and various databases, including Focus (their Student Information System), Performance Matters, and an on-premises database created by their IT team.
This disjointed system resulted in outdated, poor-quality data, a lack of trust in data and reports, and frequent duplication of data and reporting calculations. They made it much more difficult and time-consuming to understand student needs, impacting reporting efficiency and data-driven decision-making.
Fearless implemented a comprehensive data modernization strategy that included cloud migration, data warehousing, ETL pipelines, and a robust data governance program. This approach addressed the school district’s unique challenges and empowered them to leverage their data for improved efficiency, decision-making, and student success.
We designed and implemented a cloud-based data warehouse. Previously, staff were unable to get a complete picture of student performance. Data was scattered across different systems, making it difficult to track individual student progress and identify trends. To eliminate these issues, we created a centralized and modern platform that streamlined reporting processes and eliminated the need for redundant calculations and abundant data duplication.
The reporting team, previously bogged down by searching for and reconciling data from various sources, experienced significant efficiency gains. Now, with a single source of truth for their data, staff can easily access accurate, up-to-date information to support informed decision-making.
We developed robust ETL (Extract, Transform, Load) pipelines to further streamline data processes. Previously, data transformations were performed manually for each individual report. For example, the school district created many of the same reports multiple times, as different departments or individuals were unaware that the same report existed elsewhere. This meant errors and redundant tasks were common. Now, instead of manually recreating complex data transformations for every report, the district can rely on the ETL pipeline to ensure consistency and accuracy.
Fearless meticulously standardized data formats and ensured data integrity throughout the process, resulting in a reliable and accurate data warehouse. The data warehouse and ETL pipelines are built to be scalable, ensuring that the district can easily accommodate future growth and evolving data needs.
The ETL pipeline also consolidated previously scattered and duplicated data into a centralized repository. By centralizing and standardizing data, we helped the district free up valuable staff time to focus on student success in addition to increasing the trust in reports.
We instilled a comprehensive data governance program. Data governance provides the necessary tools, processes, and frameworks to ensure student data is accurate, secure, and used responsibly. The school district’s new Data Governance Program was designed to enable educators, administrators, staff, and students to access and use data securely and effectively.
We developed 15 data management policies tailored to the district’s needs and requirements. And we ensured their data governance program protects sensitive student information. With new data governance policies in place, the district can now ensure that only authorized personnel can access sensitive information.
Our data governance program also helps build trust with parents and students and ensures compliance with privacy regulations. By improving data accuracy, security, and usability, the data governance program supports better decision-making at all levels. This leads to more effective resource allocation, targeted interventions for struggling students, and a better learning environment for everyone.
Since implementing the data governance program, the school district has seen a 20% reduction in data discrepancies in their reports, leading to more informed decisions about resource allocation and student support.
We implemented a data cataloging system. Staff previously struggled to locate the data they needed for tasks like generating reports for state and federal compliance, analyzing student performance data, and creating student intervention plans. This often led to duplicated efforts and errors. Their new data cataloging tool combines the ability to catalog, search, and collaborate on data collected and acquired by the district in on-premises and cloud environments.
This system acts like a map of all the school’s data, making it easy to find, understand, and manage. This system limits “personally identifiable information” (“PII”) to only those with a “Need to Know,” making students' data vastly safer. It also enables data cleansing and elimination of redundant data, which is extremely important to improving data quality and sound data governance.
We also ensured the system abides by all applicable regulations and that all data — both at rest and in transit — have robust security measures in place to protect it.
Fearless worked closely with their staff to incorporate data domains and sub-domains per Common Education Data Standards (CEDS) simplifying the Business Data Stewards’ work assignments in the data cataloging tool. We also created user-friendly naming of data cataloged from their Student Information System, ensuring that everyone can easily find and understand the data they need.
We looked beyond technical implementation to foster organizational change. Working closely with their staff, Fearless provided training and guidance on data governance best practices and the use of the new data management tools. This collaborative approach ensured the district was well-equipped to maintain and utilize their modernized data infrastructure effectively.
We implemented a hybrid data storage approach. Recognizing their existing investment in on-premises infrastructure, we worked with the district to develop a hybrid solution tailored to their needs. This allowed them to maintain some data on-premises while leveraging the cloud for improved data management and reporting. This flexible solution ensured a smooth transition and addressed their specific needs and comfort levels with cloud migration.
This data modernization project has laid the foundation for a more data-driven and successful future for the school district.
